JOB DESCRIPTION OF THE ISO QUALITY MANAGER
Position Title: ISO QUALITY MANAGER
Title of Immediate Supervisor: Head, IQMS
Incumbent:
POSITION SUMMARY:
The ISO Manager is the manager responsible for the design, maintenance and updating of all ISO documentation manuals and ensures that all process standards in documentation are adhered to be the employees at all levels.
JOB FUNCTIONS: DUTIES AND RESPONSIBILITIES / JOB ACTIVITIES:
- Understand the needs of interested parties such as customers and suppliers, and determine what the requirements of these interested parties are.
- Establish and spearhead continuous improvement of the QMS processes and maintain an overall process integration flow.
- Ensure customer focus and product conformity. Manage the risks and opportunities for product quality.
- Be responsibility and is the authority for the QMS to ensure QMS conformance, promote customer focus, and report on QMS performance.
- Monitor the quality objectives that have been established and report this to top management. (Having one person focus on the management of this important activity is a good idea to provide focus and direction.)
- To communicate with customers on quality matters so this way the customers know the best person to call to get answers when problems occur, rather than taking time to find the right person. To send QMS information (from one source) to all employees.
- Direct and control the release of products and services within the company.
- Conduct internal audit planning & management for performance evaluation to provide focus, direction, and control for QMS audits.
- Be in charge of nonconformity and corrective action.
- Must ensure all documentation are in order at every assessment
- Align all employee through orientation , training and inspection with standardized processes
- Must feedback, assess and evaluate process standards.

JOB DESCRIPTION OF IQMS TRAINING MANAGER
Position Title: ISO Training Manager
(concurrent as IQMS Training Manager)
Title of Immediate Supervisor: Head, IQMS
Incumbent:
POSITION SUMMARY:
The IQMS Training Manager manages the training needs for IQMS and is the corporate trainer on Total Quality, ISO, Lean Systems and Six Sigma.
JOB FUNCTIONS: DUTIES AND RESPONSIBILITIES / JOB ACTIVITIES:
- Identify and assess future and current training needs through job analysis, career paths, annual performance appraisals and consultation with line managers
- Draw an overall or individualized training and development plan that addresses needs and expectations
- Deploy a wide variety of training methods
- Conduct effective induction and orientation sessions
- Monitor and evaluate training program’s effectiveness, success and ROI periodically and report on them
- Manage training budget
- Provide opportunities for ongoing development
- Resolve any specific problems and tailor training programs as necessary
- Maintain a keen understanding of training trends, developments and best practices
- Conduct training programs on Total Quality, ISO, Lean and Six Sigma

Position Title: PROCESS STANDARDS MANAGER

Incumbent:
POSITION SUMMARY:
The Process STANDARDS Manager performs the work analysis, work measurement and standardization of all production processes.
JOB FUNCTIONS: DUTIES AND RESPONSIBILITIES / JOB ACTIVITIES:
- Establish the current documentation of all documentation requirements from Level 1 to Level 3 (Work Instruction Level) for all production processes
- Conduct work study highlighting the various options of conducting a process
- Establish manufacturing indicators per process
- Establish work standards per process
- Conduct work measurement using random sampling and the correct sampling size for time standards setting
- Set time standards per process
- Update time standards, in cases of continuous improvements
- Issue Process Standards with Time Standards to all Production Authorities, DCC and SVP
- Coordinates day-to-day execution of the process
- Identifying and implementing changes to the process
- Identifying exceptions and deviations, as well as management of these situations
- Communicating new and changed policies
- Ensuring the standards and procedures are being followed
- Facilitating resource commitment and allocation
- Identifying and implementing process improvement
- Creating, analyzing and distributing process reports
- Act as focal point for process, communicate with clients, service providers, and management
- Facilitate resolution of issues with items not complying with the process

The Internal Quality Auditor ensures that organizational processes – and the goods and services that result – comply with the requirements of standards (e.g., AS9100, ISO 9001), as well as customer, regulatory, and the organization’s own requirements through regular internal audits.
JOB FUNCTIONS: DUTIES AND RESPONSIBILITIES / JOB ACTIVITIES:
- Evaluate production processes for compliance with quality requirements
- Periodically inspect and calibrate auditing tools (e.g., scales, calipers)
- Assist in development of audit plans, audit schedules
- Participate in quality audits (and lead a team of quality auditors, when needed)
- Identify processes, situations, etc., where organization is meeting requirements, as well as identify opportunities for improvement
- Assist audit team in developing audit reports; present audit reports to top management, as needed
- Assist with follow-up audits, as required
- May be required to develop internal auditing/testing parameters

Position Title: ISO DOCUMENT CONTROL OFFICER

POSITION SUMMARY:
The ISO DOCUMENT CONTROL OFFICER is in charge of the safekeeping, numbering, maintenance and issuance of all ISO assessed documents. He ensures the Document Management consistency across all units, rigorously, maintaining control and traceability of the documentation from Product or service start throughout completion.
JOB FUNCTIONS: DUTIES AND RESPONSIBILITIES / JOB ACTIVITIES:
- Implement and maintain document control processes and procedures
- Develop and maintain the Document Management System
- Manage all flows of documents either in electronic form or on paper support
- Ensure Document Management accordingly to established procedures or standards (documents numbering, formats, issuance, review, dispatch, recording and archiving)
- Maintain and manage electronic and hard copy documents as required
- Process incoming documentation (registration in the DMS, internal distribution, archiving)
- Process outgoing documentation (transmit to Client and Suppliers/3rd parties)
- Makes sure that controlled copies of latest approved documents and drawings are distributed internally and externally (Clients and Suppliers)
- Ensure control and coordination of projects documentation and data
- Ensure all drawings/documentation are correctly identified, distributed and filed/stored
- General document control activities such as photocopying, scanning, analysis of suppliers documents compliance with standards regarding numbering and all others aspect related to document quality
- Assistance in the preparation collation and issue of reports and registers as may be required
- Communicate and liaise with Project Teams, Suppliers/3rd parties to agree standards, systems, efficient flow of documentation, handover and close-out of activity to ensure consistency in document control as required
- Monitor technical documents review and approval in accordance with agreed schedule

JOB DESCRIPTION OF THE TQM COORDINATOR
Position Title: TQM Coordinator
Title of Immediate Supervisor: Head, IQMS
Incumbent:
POSITION SUMMARY:
The TQM Coordinator manages the TQM implementation inside the company. He trains quality circle facilitators, quality circle leaders and members; oversees quality circle improvement meetings; monitors quality circle projects across the whole company; assesses 5S programs, administers the TQM award systems and coordinates with the Head of Process Standards for all processes refined and approved by the TQM Steering Committee.
JOB FUNCTIONS: DUTIES AND RESPONSIBILITIES / JOB ACTIVITIES:
- Develops materials and training modules for Quality Circles
- Monitors skills levels of all trains quality circle facilitators, quality circle leaders and members and communicates to Training manager for training needs
- Monitors quality circle projects across the whole company;
- Assesses 5S programs and announces winners regularly,
- Administers the TQM award systems
- Coordinates with the Head of Process Standards for all processes refined and approved by the TQM Steering Committee
- Feedback to HR Manager (Compensation and Benefits) the group and individual awards for rewarding
- Assists the ISO Training Manager, and HP University Training Manager in the conduct of seminars and blended sessions, when not in Quality Circle sessions.
- Must be a Six Sigma Black belt

Position Title: Systems Analyst

Incumbent:
POSITION SUMMARY:
The Systems Analyst is systems thinker of the IQMS team who documents the systems study using data analytics and whose main mandate is to surface and identify key system issues, concerns and problems that may not be identified by the Quality Circles. These concerns are then farmed out and will be solved by adhoc cross functional teams which will be formed by the TQM Steering Committee.
JOB FUNCTIONS: DUTIES AND RESPONSIBILITIES / JOB ACTIVITIES:
- Conduct systems studies using data analytics.
- Frame and surface key system issues, concerns and problems
- Delegate and farm out key system issues, concerns and problems to teams
- Monitor solutions implementation of teams
- Submit regular reports and feedback to Head, IQMS on meeting system performance targets

Position Title: PROCESS ENGINEER
Title of Immediate Supervisor: Process Standards Manager
Incumbent:
POSITION SUMMARY:
The Process Engineer conducts the inventory of all processes. He does the work measurement study according to scientifically approved methodologies of work flow charting, value stream mapping, take time computation, process analysis. He thereafter defines the best process and discussed with the Process Standards Head the rationale behind the choice. Once approved, he sets the initial sample for work measurement and takes the full sample in order to set the time standards for each process , according to globally accepted rules of work measurement.
